Data & Account Deletion

This page explains how to delete your SquareKeeper account and data, what is removed, and what we are required to keep. It covers both the SquareKeeper suite (app.squarekeeper.com and the tenant and vendor portals) and SquareKeeper Works (the contractor app and works.squarekeeper.com). It also covers one case where we remove data on our own initiative: the raw jobsite photos on a SquareKeeper Works account whose plan has ended and that then goes unused for a long time (see section 6). It works alongside our Privacy Policy.

1. How to request deletion

Email support@squarekeeper.com from the email address on your account, with the subject "Data deletion request". If you write from a different address, include the account email and your business (organization) name so we can verify the request.

We acknowledge deletion requests within a few business days and complete verified requests within 30 days. There is no charge, and you do not need to be signed in to make a request.

2. What gets deleted

On a verified request from an account owner, we delete the account and the business data your organization created with the Service, including:

  • Your account and profile — name, email, and sign-in credentials for the users on your account.
  • SquareKeeper Works content — jobsite projects, photos and their captions, compiled reports, quotes, checklists, and any logo or company profile you uploaded.
  • Suite content — the business records your organization created in the modules you used, such as work orders, incident reports, vehicle registrations, time-clock events, tenant and vendor records, announcements, and uploaded files.

3. Field crew in SquareKeeper Works

Crew members join SquareKeeper Works with a one-time code and do not create an account — there is no username or password to delete. The photos and captions a crew member contributes belong to the business that invited them, and are removed when that business deletes an item or deletes its data under this policy. If you are a crew member and want content you contributed removed, contact the business you did the work for, or email us at support@squarekeeper.com and we will route the request to that business.

4. Delete things yourself, any time

You do not have to email us for routine cleanup. Signed in to your account, you can delete individual records directly — projects, photos, reports, quotes, checklists, and other module records — from within the app. In SquareKeeper Works, an owner can also remove a crew member, which revokes their access. If you used the "Ask SquareKeeper" assistant on this website, its Start over control erases that conversation.

5. What we keep, and why

After deletion we retain a limited set of information only where we must:

  • Records we are legally required to keep — for example billing, tax, and transaction records — for the period required by law, after which they are deleted.
  • Anonymized or aggregated data that no longer identifies you or your business and is not linked back to your account.

Deleted data is removed from our active systems promptly and purged from routine encrypted backups on our normal backup-rotation cycle. We do not sell your data, and we do not use customer data to train AI models — see the Privacy Policy for the full detail.

6. Automatic cleanup of raw photos on long-inactive SquareKeeper Works accounts

Separately from a deletion you request, we remove one kind of data on our own initiative: if a SquareKeeper Works account's plan (paid or trial) has ended and the account then sits unused for a long time, we remove the original jobsite photos on it to reclaim storage.

  • It applies only once your plan has fully ended — never while you are on a paid plan, still within a trial, or briefly behind on a payment.
  • After 30 days of inactivity (no sign-in, no photo upload, no report or quote activity) following the plan's end, we email the account owner a warning.
  • After another 30 days (about 60 days after the plan ends), we remove the account's raw project photos.
  • Signing in, uploading a photo, or resubscribing before that date cancels the cleanup.
  • This process takes effect on 2026-08-12; for accounts whose plan ended before then, the clock starts on that date, so every account gets the full warning and inactivity period first.

We keep your compiled report PDFs and the client links that open them, your logo and company profile, and your project, report, and quote details — those stay until you ask us to delete them. Only the raw source images are removed, and that step cannot be undone. Photos you have already compiled into a report stay in that report's PDF; it is the separate library of original uploads that is removed. Client links keep working because a report is a finished PDF, not a live gallery of the source photos.
